Site Assistant - Nagyigmánd This position supports the Nagyigmánd RC Seed Manufacturing site with office supplies and services, guest management, event management, and acts as the main interface for other Bayer sites, departments, and external stakeholders. In addition to the general assistant role, the position coordinates the internal and external communication platforms of Nagyigmánd. ### Key Tasks & Responsibilities - General administrative support for the Site Lead and all Site team members. - Facilitate team meetings and events, including sending meeting requests, booking meeting rooms, ordering food, recording meeting minutes, and distributing notes afterward. - Manage document storage and archiving, including record keeping and filing of contracts, supplier communication, and other documentation stored in the document storage room. - Coordinate guest management, including support for Product Supply expatriates during their stay in Hungary with work permits, visas, residential permits, taxes, invoices, and other local compliance topics. - Arrange meetings, flights, accommodation, transfers, and schedules for Product Supply Hungarian personnel, Bayer colleagues, and guests. - Create Purchase Requisitions and Goods Receipts in SAP, Ariba, or SmartBuy to support the Nagyigmánd Supply organization. - Coordinate cleaning services for offices and plant social buildings. - Coordinate booking and maintenance of site cars. - Distribute and track coffee keys and work clothes service. - Manage and track spare keys for the site. - Support daily activities to ensure smooth operations in compliance with ISO, HSE, and all other Bayer standards. - Coordinate and regularly update the site’s internal and external communication platforms, including newsletters, email communications, notice boards, visual screens, and site brochures. - Provide reception and office services in collaboration with the Receptionist during standard working hours: Monday to Friday, 7:00–16:00. - Reception and office services are closed on Saturdays and Sundays. - Support exceptions to reception and office service hours based on the Site Lead’s request. ### Who You Are - High school or secondary school graduation is required as a minimum. - Minimum 2 years of work experience in an assistant role. - Fluent Hungarian and English language skills. - Good working knowledge of MS Outlook, Word, Excel, and SAP. - Excellent communication and networking skills. - Strong decision-making, problem-solving, and systematic thinking skills. - Ability to work under pressure and meet delivery deadlines. The final salary will be determined based on experience, qualifications, scope of responsibility.
